Block / Building Management

Our team has considerable experience in the management, marketing, letting and day to day running of large-scale purpose-built student accommodation comprising upwards of hundreds of bed numbers.

We have worked on sites incorporating 300+ beds from development, right through to completion, ensuring sites are 100 per cent let on opening.

We currently manage a number of multi-bed schemes, from 25 rooms up to 70 rooms, providing all management and support for tenants, including on behalf of international investor partners who trust us to manage their sites from overseas.

We provide a comprehensive building management service encompassing everything to make your building run well and remain popular with tenants, from managing maintenance, accounts and rent collection, appliance testing, cleaning, security and more.

We can also provide access to a full suite of marketing services from a team of professionals with many years of experience in managing online and event campaigns to market large scale student accommodation.

We understand that block management is not a prescriptive service. We provide a suite of services allowing you to access as much or as little in terms of our block management services as you require.

Union Square is an award-winning 233 bed student accommodation block situated in Upper Ouseburn, Newcastle upon Tyne.

The development, which combines luxury studios and three to six bed communal flats with shared living areas, is a high specification, stylish student accommodation, situated close to Northumbria University.

It has a social area, cinema room, fitness suite and chill out areas plus an underground car park and secure bike storage.

Exchange Residential successfully managed Union Square from opening until the building was sold to new investors, with the team being exclusively responsible for management, day to day maintenance, contractor relationships, utilities, tenant liaison, cleaning and waste to accounting and rent collection.

The team also managed pricing strategy in line with investor targets, marketing, brand management, digital presence, social media, eventing and more.

Our fully managed service means we look after everything for you. From working to ensure your property is let and well maintained throughout the tenancy to collecting your rent and registering your damage deposit.

Our fully managed service includes:

  • Rental valuation – With extensive knowledge of the local market, we will carry out a valuation and advise on a rental price for your property.
  • Marketing – We will advise on property dressing and take good quality marketing photographs as well as write a detailed description to promote the property.
  • Advertisements – Your property will feature strongly on our website, Rightmove and social media channels with options for clients to book viewings directly. We are also able to offer the option for further advertising, campaigns and sponsored posts as required.
  • Respond to enquiries and host viewings – We will arrange accompanied viewings at a time to suit the client, offering flexible viewing times including evenings and weekends.
  • Match your property with the right tenant – We understand how important it is to you to find a tenant who will not only pay their rent on time but also look after your property throughout the tenancy. We put time into property matching tenants and homes.
  • Referencing – We carry out all necessary tenant reference checks via HomeLet.
  • Deposit – We collect deposits from tenants and register these with the TDS (Tenancy Deposit Scheme).
  • Rent – We manage rent collection and arrears management.
  • Tenancy agreement – We create and manage legally binding tenancy agreements.
  • Quarterly inspections – We carry our regular inspections and report back any concerns.
  • Maintenance – Our team react to maintenance reports quickly and efficiently, advising landlords accordingly.

Tenant Find Services

At Exchange Residential we offer a comprehensive tenant find service, allowing those landlords that like to maintain a hands-on approach to managing their properties access to our vast marketing expertise and admin support to ensure a successful let.

Our team will ensure your properties reach the widest possible audience, whilst also taking care of the legal paperwork that goes with setting up a tenancy. We then hand it over to you once your tenants have moved in.

Our tenant find service includes:

  • Rental valuation – With extensive knowledge of the local market, we will carry out a valuation and advise on a rental price for your property.
  • Marketing – We will take good quality marketing photographs as well as write a detailed description to promote the property.
  • Advertisements – Your property will be advertised strongly on our website, Rightmove and social media channels with options for clients to book viewings directly. We are also able to offer the option for further advertising, campaigns and sponsored posts as required.
  • Respond to enquiries and host viewings – We will arrange accompanied viewings at a time to suit the client, offering flexible viewing times including evenings and weekends.
  • Referencing – We carry out all necessary reference checks via HomeLet.
  • Deposit – We collect deposits from tenants and transfer funds to our landlords in order for them to register with an acknowledged deposit scheme such as the TDS.
  • Tenancy agreement – We create legally binding tenancy agreements.
  • Documents – We send all original and relevant documents and the rent collected (less our fee) to the landlord.

Fees

We want you to be comfortable in the knowledge that you are working with the right letting agent for your property. For that reason, we are upfront about our fees to all of our clients.

Tenant Find: one month’s rent (inc. VAT)

Our Tenant Find Service includes:

  • Collection of first month’s rent
  • Deposit collection
  • Provide tenant with method of payment
  • Deduct any pre-tenancy invoices

Carry out a schedule of condition – £144.00 (inc. VAT)

Carry out a schedule of dilapidation – £144.00 (inc. VAT)

Fully Managed Service: 60% of one month’s rent and 14.4% of monthly rent (inc. VAT)

Our Fully Managed Service includes:

  • Collection and remittance of monthly rent (less commission)
  • Pursuit of non-payment of rent and provision of advice on rent arrears
  • Deduction of commission and other works
  • The undertaking of quarterly visits, arrange repairs and instruct contractors

Both of the above services include the following:

  • Agreement with client on market rent
  • Advice given on property refurbishments
  • Guidance provided on compliance
  • Hosting of viewings
  • Marketing of the property including advertisement on relevant portals
  • Advice given on non-resident tax issues

Other charges

  • Deposit registration fee – £72.00 (inc. VAT). Deposit registered with the TDS. Tenants provided with certificate and prescribed information.
  • Renewal fee – 30% of one month’s rent (inc. VAT). Review rent, negotiate with tenant and update of tenancy agreement.
  • Payment of ground rents and service charges – £60.00 (inc. VAT) per year.
  • Application for HMO licence – £300.00 (inc. VAT).
  • Renewal of HMO licence – £120.00 (inc. VAT).
  • Disbursement fee – 12% (inc. VAT) of the contractor’s invoice.
